Transfer a note-taking app to a new device, tool, or owner by inventorying notebooks and owners, creating a supported export, verifying the archive, testing a representative import or opening path, and transferring sharing and account responsibilities separately. Keep the original account and device unchanged until content, attachments, organization, and access are verified in the destination.

Inventory content and ownership

List notebooks, note counts where available, attachments, scans, audio, drawings, labels, tags, reminders, links, collaborators, shared spaces, locked notes, and offline-only content. Identify personal, shared, and organization-owned material. Decide what may be transferred and what must remain with the original owner.

Record the source account, destination account, device, application version, storage location, and administrator. Do not share credentials to make a transfer easier. Use supported ownership or sharing controls.

Export with provider limits in mind

Use the app's official export route. Google says Google Takeout can create an archive for records or transfer and warns that recent changes may not be included between the request and archive creation (Google data export guide). Schedule a final change freeze or delta check before cutover.

Microsoft says OneNote notebook export through OneNote for the web is available for notebooks stored in personal OneDrive accounts, not work or school OneDrive or SharePoint, and advises verifying that the downloaded notebook opens with all sections and pages accessible (OneNote notebook export). Check the actual provider's limitations rather than assuming every notebook has a portable format.

Test the destination

Open or import a representative notebook containing text, checklist items, attachments, images, links, labels, and shared content. Compare note counts and spot-check dates, formatting, search, reminders, and attachment access. A PDF may preserve a static view but not editability, tags, links, or collaboration.

Record any feature that cannot migrate and the approved workaround. Keep the export encrypted or access-controlled because a note archive can contain sensitive material. Remove temporary transfer permissions after verification.

Cut over and preserve recovery

Name the cutover time and authoritative app. Recreate sharing with the correct owners, notify collaborators, update capture shortcuts and automations, and prevent new notes from splitting across two systems. Keep a read-only export and the original service for a defined rollback window when policy allows.

The transfer is complete when the destination opens representative notes and attachments, ownership and sharing are correct, recent changes are reconciled, the recovery archive is protected, and collaborators know where to work. If only a static snapshot exists or unsupported content remains, label the transfer partial.
