Document a note-taking app with one operating record that answers five questions: why this app is used, who owns the account and content, where notes are stored and shared, which settings matter, and how the notes can be exported and verified.
Record the decision and scope
Start with the date, decision owner, intended users, and the reason the app was selected. Name the note types allowed in the system and any content that must stay elsewhere. Include the workspace or account name, billing owner, recovery contact, and the person who may approve integrations or sharing changes.
Write down alternatives that were considered and the constraints that drove the choice, such as offline access, collaboration, platform support, export formats, or retention needs. This turns the record into an explanation a future owner can evaluate rather than a list of unexplained settings.
Capture settings that affect access and data
Record the sign-in method, storage account, synchronization scope, sharing defaults, link permissions, external collaborators, retention rules, integration permissions, and backup or export path. Do not copy passwords, recovery codes, or secret tokens into the operating record. Instead, identify the approved credential manager and the role authorized to retrieve them.
Take dated screenshots or export a configuration report where the app supports it. For each important setting, note the intended value, why it matters, who can change it, and how a change will be tested. Review actual membership and sharing lists instead of relying on remembered ownership.
Define an export that matches the app
Export behavior varies by product and account type. Microsoft's OneNote export and import guidance explains that notebook downloads are available through OneNote for the web for notebooks stored on personal OneDrive, while work, school, and SharePoint situations have different limitations. It also recommends opening the downloaded notebook to verify the export.
Google's Takeout download guidance explains that exporting data creates an archive for records or transfer and does not delete the original data from Google's servers. It also warns that changes made between requesting and creating an archive might not be included.
Apple's Notes export guidance describes PDF and Markdown export options and documents limitations: some interactive features do not remain active after export, and certain multipage attachments may not be fully represented in a PDF export. These vendor differences are why an operating record should state the exact export method and known limits for the selected app.
Test the handoff, not just the download
An export file is not proof of recovery. Open a representative sample outside the original app. Check note titles, text, dates, links, tags, checklists, images, scans, attachments, and shared content that the business expects to retain. Record the test date, tester, sample, result, and any loss of structure or functionality.
Keep the most recent verified export in an approved location that is not dependent on the same user account. Record encryption, access, retention, and deletion requirements. If the app or account type cannot produce an adequate export, document that limitation as an ownership risk and define a manual preservation process for critical notes.
Maintain a concise ownership table
List an accountable owner, backup owner, billing contact, administrator, records owner, and security contact. One person may fill several roles, but the responsibility should be explicit. Add the renewal date, account recovery route, vendor-support link, and the trigger for reconsidering the app.
Review the operating record after ownership, plan, integration, or storage changes and during a scheduled access review. A good record lets a new owner understand the decision, inspect current access, reproduce important settings, and open a verified export without relying on the memory of the person who originally configured the app.
