Before closing a software account, inventory what the account owns, export the data through the provider's supported tools, verify representative files, and move the archive to storage that will remain accessible after closure. Then update linked sign-ins, subscriptions, shared ownership, and recovery contacts. A completed download is not enough if the archive cannot be opened or still lives inside the account being deleted.
Inventory data and dependencies
List mail, files, calendars, contacts, photos, notes, recordings, reports, billing records, API credentials, shared workspaces, public links, and purchased content. Identify which records must be retained and who is authorized to receive them. Separate personal content from business records before moving anything.
Search for services that use the account as their login, recovery address, notification destination, or identity provider. Change those dependencies before closure and verify the replacement address. Transfer shared folders, calendars, automations, and administrator roles to an active owner.
Use the provider's export process
Google's data-download guidance explains how to select products, choose an archive format and delivery method, and retrieve an export. It also cautions that an archive may not contain changes made between the request and archive creation, and that downloading data does not delete it from Google's systems.
Select only the needed products when the provider supports that choice. Record the request time, product selection, format, archive size, destination, and person responsible for validation. For a large account, use smaller exports if that makes failures easier to identify and retry.
Move the archive outside the closing account
Do not leave the only copy in storage owned by the account being closed. Google's guidance specifically notes that a Drive-hosted archive must be moved elsewhere before deleting the Google Account. Copy the export to an approved destination under an active owner and apply the appropriate access and retention rules.
Protect the archive because exports can combine many categories of information in one place. Avoid public links and personal removable media. Record who can access it and when it should be reviewed or deleted.
Validate the contents
Open the archive instructions and inspect representative files from every selected product. Check a recent and an older record, attachments, calendar dates, contact fields, folder structure, and any format needed by the replacement service. Compare item counts where the provider makes them available.
Document missing information and rerun the export before closing. Google warns that some recent changes may not appear in an archive created from an earlier request. Treat the export timestamp as part of the evidence and repeat it after a final change freeze when necessary.
Review the closure consequences
Google's account deletion guidance directs users to review and download needed information before deletion and describes loss of content and service access. Microsoft's account closure guidance says to make sure nothing important is being left behind and describes a selectable reopening window before final deletion.
Provider behavior, business plans, legal holds, and reseller arrangements vary. Read the current closure page for the exact product and account type. Do not assume another provider's recovery window or deletion sequence applies.
Close in a controlled order
- Approve the closure and identify the responsible owner.
- Inventory records, purchases, integrations, shared ownership, and linked sign-ins.
- Export through the provider's supported process and record its scope.
- Move the archive outside the account and restrict access.
- Open representative data and document gaps or unsupported formats.
- Transfer shared assets, change recovery addresses, and cancel related billing.
- Capture the provider's closure confirmation and the date final deletion is expected.
After marking the account for closure, monitor the replacement sign-ins, billing source, and shared assets during the provider's applicable waiting period. Do not reopen the account casually if doing so resets the closure process. The finished record should show what was exported, how it was tested, where it is retained, who approved deletion, and how the provider confirmed the final state.
