Compare weekly planning tools by testing whether a real planning week can be exported, understood, and rebuilt elsewhere. A calendar export may preserve events but omit guests or conference data; a board export may preserve cards but not reminders or comments. Define the planning system's source of truth, then test each content type rather than treating one ICS or CSV file as proof of portability.
Model one complete planning week
Create an invented week with timed events, an all-day item, a recurring event, task deadlines, priorities, notes, links, attachments, categories, reminders, a shared meeting, a private item, and a completed task. Include a time-zone change if travel or remote work matters. Record which tool owns each item and which merely displays a synchronized copy.
List non-negotiable behaviors: phone and desktop access, offline review, shared calendars, task completion, reminder delivery, printability, assistive technology, or separation of work and personal accounts. A weekly layout can look portable while its underlying data remains fragmented across several services.
Identify real export routes
Google documents Calendar export to ICS from a computer. It says export depends on calendar permissions and may be restricted by an administrator. Test with the same account type and sharing role that the user will actually have. A feature available to an owner may not be available to a viewer or managed employee.
Microsoft's Outlook calendar export guidance describes an ICS export as a snapshot and says later changes do not synchronize automatically. Label snapshot, subscription, and live synchronization as different capabilities. An exported week can be a sound archive even when it is not an ongoing migration route.
For tasks, notes, habits, or project cards, locate separate export documentation and test it. Do not assume that a calendar file contains completed tasks, checklist state, comments, attachments, or planning reflections simply because those items appear beside events in one interface.
Test import fidelity
Export the sample week and save the original files. Import into a disposable destination calendar or planner. Google warns in its Calendar import guidance that imported events do not stay synchronized and that guests and conference information are not imported. That means a visually intact meeting can still lose operational context.
Compare item counts, titles, start and end times, time zones, recurrence rules, exceptions, reminders, descriptions, links, locations, privacy, categories, guests, conference details, attachments, task status, and notes. Check events after a daylight-saving boundary if relevant. Open the result on a second device and without a network connection when offline use is required.
Examine ownership and permissions
Record who owns each calendar, workspace, board, and file. Test whether an individual can export, transfer ownership, remove a collaborator, revoke a public link, and leave a managed organization with an authorized copy. Preserve the difference between personal data, employer records, and shared team material; a user should not export information they are not authorized to retain.
Check administrator controls, plan requirements, retention rules, recovery routes, and account closure steps. "Ownership" here is operational shorthand for control and continuity, not a legal opinion. When employment, education, privacy law, or contracts govern the records, use the applicable policy and qualified advice.
Compare the daily experience too
Portability should not overshadow usability. Complete keyboard and screen-reader checks, change zoom, create and reschedule an item, mark a task complete, undo a mistake, and review the week on a small screen. Confirm that reminders reveal enough context without exposing private details on a locked device.
Run a disconnected test. Can the user see the current week, add a note, and understand what is waiting to sync? Does reconnection duplicate events or silently overwrite edits? Record observed behavior by platform rather than assuming the mobile and web versions match.
Make a defensible choice
Score calendar fidelity, task coverage, note and attachment coverage, administrative independence, offline behavior, accessibility, shared-work continuity, and exit effort separately. Attach the exported files and comparison notes to the decision record, using only invented or authorized information.
The best weekly planning tool is not necessarily the one that exports the most files. It is the one whose export and transition behavior preserves the parts of the planning method that matter, within the user's real permissions. Retest after account, plan, or administrator changes and before relying on an export as the only recovery route.
