A team chat tool is portable when the organization can retrieve a complete, usable record and continue essential communication without depending on one provider's active account. Ownership means the organization controls the contract, administrators, identity connections, retention choices, integrations, recovery paths, and exported evidence. Compare these dimensions with a test migration rather than a checklist of marketing claims.
Define what the organization must own
Inventory public and private channels, direct messages, threads, reactions, edits, deletions, files, clips, canvases, recordings, transcripts, guests, user profiles, roles, apps, workflows, retention, audit logs, and legal holds. Mark who owns the business record, who administers each dependency, and which account or contract grants access.
Separate reading an archive from restoring a working environment. A usable exit may need searchable threads, file copies, identity mapping, timestamps, channel membership, permissions, bot definitions, and workflow behavior. Rank requirements as essential, desirable, or intentionally left behind.
Verify the export available on the actual plan
Slack's workspace export documentation shows that export scope varies by plan, role, conversation type, and approval. Public-channel exports are not equivalent to an all-conversation record, and recurring or targeted exports have additional restrictions.
Do not score a product from its best enterprise capability when the organization will buy a different plan. Sign in with the intended administrator role, export an approved representative sample, record the request and completion time, and inspect exactly what arrives. Include private spaces and direct messages only when policy and authority permit.
Check whether files are independently recoverable
Slack's guide to reading exported data states that JSON exports can contain links to workspace files rather than the files themselves and that those links can stop working after the file, channel, or workspace is deleted. Count attachments, download an authorized sample, compare hashes, and determine whether a documented bulk route exists.
Review clips, canvases, external shared-channel files, app-generated content, link unfurls, and deleted or expired material separately. An export with every message but no independent attachments may fail the organization's continuity requirement.
Test import and reconstruction
Slack's workspace import guidance documents transfer of eligible member, message, and channel data while noting plan, organization, and scope constraints. Run a neutral readback or destination import with invented or redacted material. Verify identities, channels, threads, timestamps, mentions, reactions, links, files, and permissions.
NIST SP 800-146, Cloud Computing Synopsis and Recommendations, warns that SaaS formats can be incompatible and that workflows, rules, scripts, extensions, and add-ons may be provider-specific. Inventory bots, webhooks, approvals, incident routes, directory groups, notification rules, and customer integrations. Estimate the work to rebuild each one.
Compare administrative ownership
Record the legal customer, billing owner, primary administrator, backup administrators, domain verification, single sign-on, directory sync, recovery contacts, encryption-key controls, app approval, guest review, retention, and audit access. Avoid a setup controlled only by a consultant's or employee's personal account.
Check whether the organization can replace the billing owner, recover access, remove a departed administrator, revoke apps, export logs, and continue service during an identity-provider outage. Document which controls require vendor support and the support response available on the intended plan.
Review contracts, cost, and exit timing
Compare minimum terms, renewal dates, notice windows, seat true-ups, guest pricing, storage limits, export assistance, egress fees, API limits, data-deletion timing, support after cancellation, and paid professional services. Include the labor needed to classify records, download files, rebuild integrations, train users, and validate the destination.
Ask when access ends and how long the provider retains recoverable data. Do not cancel before the export and destination are verified. Protect archives as sensitive records, restrict access, and set a justified retention period.
Score evidence, not feature presence
Use separate scores for message completeness, private-conversation authority, attachment independence, open formats, identity mapping, workflow replaceability, administrator control, contract flexibility, migration time, and tested recovery. Preserve unknowns rather than awarding points for undocumented capabilities.
The comparison should include the sample, plan, roles, export receipt, file manifest, import or readback results, missing items, workflow inventory, contract dates, and next rehearsal. A bounded conclusion is credible: under this plan and authority, these records and workflows could be recovered or reconstructed, while these dependencies remained provider-controlled. That is a meaningful portability and ownership comparison.
