A calendar handoff is complete only when the successor can edit future meetings, manage attendees and rooms, access linked material, and handle cancellations without the former employee's account. Sharing a calendar or forwarding invitations may provide visibility without transferring organizer authority. Build the handoff around the platform's actual ownership rules.

Inventory organizer-dependent events

List recurring series, important one-time meetings, customer or vendor calls, resource bookings, webinars, meetings with conference links, and events containing attachments. Record the current organizer, successor, recurrence end date, attendee scope, room or equipment, meeting link, linked documents, and required completion date. Prioritize long-running series and externally attended meetings.

Use the supported transfer path

Google Calendar lets an owner transfer eligible calendars or events, but its transfer guidance notes limits: a primary calendar itself cannot be transferred, event or calendar ownership changes require acceptance, and work or school transfers generally require the new owner to be in the same organization. Google also says the new owner has 60 days to accept and the original owner remains owner until then.

Microsoft now documents a Change organizer workflow in Outlook. The meeting remains with the current organizer until the recipient accepts. Microsoft lists unsupported or limited cases, including meetings in group or shared mailboxes, encrypted meetings, past recurring series, and some meetings that have already started. The feature may also depend on organizational enablement and client support.

Verify the handoff

  1. Have the successor accept each ownership request before the old account is disabled.
  2. Confirm the organizer field from the successor's calendar and from a test attendee's view.
  3. Change one future instance, verify the update reaches attendees, and then restore the intended details.
  4. Check room and equipment bookings, conferencing links, registration settings, attachments, agendas, and linked files. Ownership of an event does not automatically guarantee access to a former organizer's files.
  5. Confirm that external attendees received the expected update and are not left with duplicate meetings.
  6. Record unsupported events that must be canceled and recreated. Preserve the old-to-new event mapping for support questions.

Handle recurring series carefully

Set a clear cutover date. For a series that cannot transfer, shorten or cancel the old series after the final old-owner occurrence, create the replacement under the successor, and state the effective date in the invitation. Avoid overlapping active series. For transferred Outlook series, Microsoft says earlier instances remain with the previous organizer and only future instances move.

Finish while the departing organizer or an authorized administrator can still resolve edge cases. After account suspension or deletion, sample the next occurrences, verify rooms and conference links again, and retain a small exception register. This makes ownership operationally testable instead of relying on a one-time transfer confirmation.
